. OPERATIONAL FUNCTIONS
At the beginning or end of each day, you as the medical assistant (MA) should stock examination rooms with the amount of each supply item needed for the day. When supplies in storage run low, notify the person responsible for ordering to ensure that more can be purchased. You may be asked to order supplies, put away supplies that have been received, or inventory the central supply room to identify which supplies need to be ordered.
If an employee notes that the last box of an item has been opened during the day, this supply level should be reported to the person in the office responsible for ordering supplies. Prompt notification reduces the chance of running out of an item that will be needed in the near future. Supplies of high seasonal use items, such as influenza and strep kits, are especially important to manage.
1. Obtain the inventory list, (e.g., inventory notebook, computer file, or box of inventory cards).
2. Check all examination rooms and storage areas to determine the level of inventory. Check expiration dates, and dispose of supply inventory that is past the dates.
4. Check the number of items on hand against the number listed as the reorder point. If the number on hand is below or very close to the reorder point, flag the item as one that needs to be ordered.
5. Place the inventory list in the proper location for follow-up and ordering.
